    1. Information We Collect

    To deliver our AI business automation services, we collect:

    • Account & Identity Details: name, business name, email, phone number and billing details when you subscribe.
    • Communication Data: text messages (SMS), emails, call recordings, voice AI transcripts and chat logs routed through our platform to perform automation.
    • AI Knowledge Base Data: business FAQs and pricing sheets you provide to set up and configure your AI agents.
    • Payment Information: billing details collected at checkout. Card processing is handled securely by a third-party payment provider; we do not store full credit card numbers.

    2. How We Use Your Information

    We use your information only to:

    • Deliver and optimise our AI automation and CRM services.
    • Set up and optimise your designated AI agents (your data is kept separate and is not shared between clients).
    • Process payments, handle monthly billing, and issue tax invoices and receipts.
    • Comply with our legal and tax obligations under Australian law.

    3. Data Sharing & Service Providers

    We do not sell or trade your data. Information is shared only with trusted service providers where necessary to run the platform:

    • Cloud infrastructure providers: enterprise-grade providers that host the servers the platform runs on.
    • Payment providers: secure payment processing.
    • Telecommunication carriers: routing and delivery of SMS and automated voice calls.
    • AI engine providers: the language model services that power the AI agents. Data is processed under enterprise-grade agreements and the data processing terms of those providers.

    4. Overseas Disclosure (APP 8)

    Our service infrastructure uses enterprise-grade data centres located in the United States, and some of our service providers may handle data outside Australia. Data is encrypted at rest (AES-256) and in transit (TLS 1.2 or above). In line with Australian Privacy Principle 8, we take reasonable steps, including through contractual data processing obligations, to ensure that overseas recipients handle personal information in a manner consistent with the APPs.

    If you are located outside Australia, you acknowledge that your information will be handled by us in Australia and transferred as described in this Policy.

    5. Cookies & Analytics

    Our website uses essential cookies for checkout functionality and basic analytics (Google Analytics) to monitor traffic and improve user experience. You can manage or disable cookies through your browser settings at any time.

    6. Data Retention & Deletion

    • Active accounts: we keep your data while your subscription is active.
    • After cancellation or termination: we keep your data for a 30-day Grace Period, during which you can request an export or reactivate your account. After the Grace Period your account is closed, the data is no longer accessible to you, and we delete it from our live systems.
    • Backups: copies held in our backups may be kept for up to 12 months after account closure, solely for disaster recovery and legal compliance. They are not used for any other purpose and are permanently deleted at the end of that period.
    • Financial records: invoices and payment data are retained for 7 years to comply with the Corporations Act 2001 (Cth).
    • Deletion requests: you can request permanent deletion of your business data at any time by contacting us at aiforbiz.com.au/contact-us. Verified requests are actioned within 30 days, subject to the backup and legal retention periods above.

    7. Data Breaches

    If a data breach is likely to cause serious harm, we comply with the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth), including prompt notification to affected individuals and the Office of the Australian Information Commissioner (OAIC).

    8. Your Legal Rights

    Under the Australian Privacy Principles, you have the right to access the personal information we hold about you and to request corrections to inaccurate data. You can opt out of marketing communications at any time by clicking "Unsubscribe" or replying "STOP".
